1. Get a Powerpoint document print ready

    When preparing a PowerPoint presentation for print, there are a few important steps to follow. Below is our step-by-step guide to help ensure your PowerPoint file is print-ready.

    1. Set the correct slide size and margins
    Begin by checking that your slide size is set to the correct UK paper size. To view available UK paper sizes, click the button below. Please note that PowerPoint defaults to a screen-based size rather than a UK paper size.

    To change the slide size, go to the Design menu, select Slide Size in the top-right corner, then choose Custom Slide Size. Enter the required dimensions.

    When setting up margins, we recommend allowing a minimum of 0.6cm from the edge of the page for designs with images or backgrounds that bleed to the edge with no white borders. If your document requires binding or hole punching, increase the margin on the bound edge to 1.5cm.

    For double-sided printing, the binding margin should be on the left for odd-numbered pages and on the right for even-numbered pages. Once margins are set, ensure all text, graphics, and images that need to remain visible stay within this area to prevent them from being trimmed during finishing.

    2. Add your design and check colours
    Once your slide size and margins are correctly set, you can begin adding your design. If your presentation contains multiple pages, ensure the final PDF is supplied in the correct sequential order.

    If your design uses corporate colours, these should be converted from RGB to CMYK. While RGB colours will be automatically converted during printing, we cannot guarantee an exact match to your corporate CMYK values.

    3. Save your presentation as a PDF
    When you are happy with your design, save the presentation as a PDF. Go to File, select Save As, click Browse, and choose PDF from the “Save as type” drop-down menu. Save the file to your computer.
